With immediate effect all products ordered must be paid for in full when placing the order. 


Unfortunately due to the large amount of products that have been ordered and not collected and paid for, we are unable to continue to order without payment in advance. We apologise for any inconvenience this may cause but we have to pay the supplier when ordering your products and there is no sale or return. A lot of products have had to be disposed of as they have strict expiry dates and consequently Halcyon has had to foot the bill. As a business, this is something we cannot continue to do.


Products cannot be returned unless there is a fault or evidence of a reaction.

Please let us know if you have any new medical conditions or allergies we need to be aware of.






At Halcyon we take your personal data very seriously and that’s why we want to let you know why and how we collect and store your personal details in accordance with GDPR legislation.


We collect data in several ways at Halcyon.

  • In the salon using a printed client consultation form

  • We also store your name, telephone number and email address on our secure Treatwell booking system.

  • Contact form - This is on our website for you to contact us with enquiries. We ask for your name, email address and to leave a comment, you will not be added to our mailing list for using this.

  • Social media - You may contact us via Facebook messenger and we will reply but not store this information.


When arriving for your appointment at the salon we ask any new clients to fill out a client consultation and record form. We ask for

  • Your full name, so we can address you in the salon and ensure all communication is with the correct person.

  • Your address, to help us distinguish 2 clients with the same name or to send out a gift voucher if a loved one has requested. You might also want us to send a product out.

  • Your email address, to send booking confirmations, email invoices or to send out any important information i.e. new policies and procedures.

  • Your telephone number, to contact you if we need to discuss your treatment or booking and a mobile number to text a reminder of your appointment.

  • Your medical history, including any operations, recent or acute illnesses. Medical history is imperative if we are to perform your treatment safely and fully insured.

  • Any allergies, to ensure nothing we use during a treatment or around you at the salon can cause you harm, irritation or any other complications and to stay fully insured. 

  • Any medication as some medication can cause you to react to a treatment or product, we need to keep you safe and stay insured.

  • Your contact preferences, so if you wish to be on our mailing list you must opt in otherwise we cannot legally send you our newsletters or special offers.

  • Your consent to use treatment photos. Some of our treatments involve before and after photos on salon devices to aid the client experience and proof of progress/ treatment results.

We will keep a record if we perform a patch test. This is a skin test we carry out in salon, or it could be one we post out to you, to test for potential allergic reactions to certain treatments. We keep this on file so all therapists know you are ok to have that treatment and in the event of a reaction we know what was used and when.

We will also record your treatment history so each therapist can see what was used and how your treatment was carried out to ensure results are consistent amongst staff and to act as a reminder for your next treatment with us.


Your data is in digital and paper form at Halcyon. Paper copies of consultation forms are stored alphabetically in a file which only staff of Halcyon are permitted to access.

Digital information is stored using the Treatwell booking system which is password protected. Only Halcyon staff have access to our Treatwell account and certain areas are restricted to management only.


We will hold your data for up to 2 years from your last treatment unless you ask us otherwise. 

You have the right to be forgotten. If at any time you no longer wish to be on the Halcyon database simply send an email to sunilla@horsforthbeauty.co.uk and we will remove all your information.

You have the right to access your personal data held by us at Halcyon and the right to update any information which is incomplete, incorrect or out of date.

You have the right to data portability if you wish us to transfer some personal data, ie patch test results if you are moving to another salon.

You have the right to object to processing and direct marketing. Your data can remain in one place but not used.
